Privacy Policy

Coastal Rides is a service of Rapid Journey Systems Ltd. (“Coastal Rides,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use our websites, rider services, driver services, mobile applications, web applications, support channels, or other services that link to this Policy (collectively, the “Services”).

This Policy applies to riders, passengers, drivers and driver applicants, partner and business users, website visitors, and people who contact us. It does not apply to an independent third party’s service when that service has its own privacy policy.

1. Personal information we collect

The information we collect depends on how you interact with the Services.

Account and contact information

We may collect your name, email address, telephone number, account and session identifiers, authentication records, communication preferences, and information needed to confirm your identity or eligibility to use a Service.

Ride, booking, and service information

We may collect pickup and drop-off addresses and coordinates, stops, requested and scheduled times, passenger count, accessibility or service requirements you choose to provide, fare and receipt information, ride status and history, assigned driver and vehicle information, cancellations, support notes, and records needed to operate, reconcile, or investigate a ride.

If you provide information about another passenger, you are responsible for having authority to provide it and for sharing only what is reasonably necessary for the ride.

Location information

We may collect precise or approximate location information when it is needed to provide a feature you request, such as choosing a pickup point, showing a vehicle’s progress, determining arrival or routing information, supporting dispatch, or helping protect riders and drivers.

The Coastal Rides Driver applications may collect precise driver location while a driver has deliberately gone online for work or is completing an active duty or trip. This can continue when the app is minimized, the screen is off, or the app is not actively displayed. The location is used for active-duty tracking, dispatch and arrival coordination, navigation, trip operations, and safety or live operational support. On supported Android devices, an ongoing notification indicates when the location foreground service is active. Location collection for this purpose is stopped when the applicable online, duty, or trip-tracking state ends.

We do not use precise driver location for advertising, and we do not sell it.

Driver, applicant, vehicle, and compliance information

We may collect driver profile and application information, work eligibility, service areas, vehicle details, driver’s licence and abstract information, vehicle registration and inspection information, background or record-check status, insurance or compliance records, training and onboarding information, documents you upload, and operational or safety records. Some screening information may be collected directly by an authorized screening provider under its own privacy policy.

Payment and transaction information

We and our payment providers may collect payment method tokens, billing contact information, transaction and pre-authorization details, fares, tips, refunds, credits, invoices, payout or settlement information, and fraud or dispute records. Payment-card details are processed by our payment provider; Coastal Rides does not intend to store complete payment-card numbers or card security codes in its application databases.

Communications and support information

We may collect the content and metadata of emails, SMS messages, telephone calls, support chats, feedback, complaints, surveys, and other communications with us. Where permitted and appropriately disclosed, calls may be monitored or recorded for service quality, safety, training, or dispute resolution.

Device, log, and usage information

We may collect IP address, browser or device type, operating system, app version, language, timestamps, pages or features used, referring pages, cookie or similar identifiers, push-notification tokens and delivery status, crash and performance information, security events, and diagnostic logs. We seek to keep authentication secrets, full addresses, raw location trails, payment credentials, and other unnecessary sensitive content out of logs.

Information from other sources

We may receive information from riders, drivers, business or partner accounts, dispatch and transportation providers, payment providers, identity or screening providers, communications providers, app stores, mapping and routing providers, government or regulatory authorities, and other people or organizations involved in delivering or administering a Service.

2. How we use personal information

We use personal information to:

  • create and protect accounts, authenticate users, and manage sessions;
  • provide ride estimates, bookings, matching, dispatch, routing, navigation, live trip information, receipts, and customer or driver support;
  • communicate operational information, including one-time passcodes, booking updates, arrival information, safety notices, and service messages;
  • process payments, pre-authorizations, tips, refunds, credits, invoices, payouts, reconciliation, and disputes;
  • onboard and support drivers, review eligibility and compliance, administer vehicles and service areas, and operate driver workflows;
  • prevent fraud, misuse, duplicate actions, and unauthorized access, and investigate safety, security, support, or payment incidents;
  • maintain service reliability, diagnose errors, monitor performance, improve accessibility and usability, and develop or evaluate Service features;
  • meet accounting, insurance, tax, transportation, safety, legal, and regulatory requirements;
  • create aggregated or de-identified information that is not reasonably capable of identifying an individual; and
  • send optional marketing communications where we have the consent required by law.

We may use automated rules or tools to assist with matching, routing, scheduling, fraud prevention, risk controls, and service operations. Automated outputs may be subject to business rules and staff review. Contact us if you have a question about a decision that materially affects your use of the Services.

We collect, use, and disclose personal information with consent or as otherwise permitted or required by applicable law. We limit collection to information reasonably necessary for the purposes described when the information is collected or otherwise explained in this Policy.

3. When we disclose personal information

We may disclose personal information as reasonably necessary to:

  • riders, passengers, and drivers: share limited identity, vehicle, pickup, destination, contact, location, and trip-status information needed to arrange and complete a ride;
  • business and partner accounts: administer services, bookings, authorized users, billing, and reporting, subject to appropriate account permissions;
  • service providers: host and secure the Services, process rides and payments, provide maps and navigation, deliver email, SMS, push notifications and support, store documents, perform screening, monitor reliability, and provide professional services;
  • authorities and other parties: comply with law, legal process, regulatory requirements, insurance obligations, or valid government requests, or protect rights, safety, security, and property; and
  • a corporate transaction: evaluate or complete a financing, reorganization, merger, sale, or transfer of all or part of our business, subject to appropriate confidentiality and legal safeguards.

Service providers used for the Services may include Amazon Web Services and PostgreSQL database services; Vercel and Webflow; Spare; Stripe; Google services such as Maps, Navigation, Firebase Cloud Messaging, Tag Manager, and web fonts; Mapbox and OpenStreetMap data providers; Twilio; Resend; Crisp; app-store operators; and authorized driver-screening or professional-services providers. A provider’s involvement varies by Service and feature. Providers may process information under their own privacy notices as well as their agreements with us.

We do not sell personal information. We do not disclose precise location for third-party targeted advertising.

4. Cookies and similar technologies

Our websites and web applications may use cookies, local storage, pixels, tags, and similar technologies for authentication, security, preferences, support chat, service operation, performance measurement, and analytics. For example, our public website is hosted using Webflow, uses Google Tag Manager, and may load the Crisp support service.

You can control cookies through your browser and any consent controls we provide. Blocking some technologies may prevent authentication, support chat, preferences, or other Service features from working properly. Where applicable law requires consent for non-essential technologies, we will seek it.

5. Communications and choices

Operational communications are part of providing the Services and may include authentication codes, ride or driver updates, receipts, safety notices, and important account messages. You may not be able to opt out of operational communications while using the related Service.

You may unsubscribe from optional marketing email by using the unsubscribe link or by contacting us. You may also withdraw consent to optional SMS or marketing communications using the instructions in the message or by contacting us. Your mobile operating system lets you manage push notifications and location permissions, although disabling them may limit features that depend on them.

6. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing the Services, maintaining safety and operational records, supporting users, resolving disputes, preventing fraud, enforcing agreements, and meeting accounting, tax, insurance, transportation, legal, and regulatory obligations.

Retention periods vary by data type and context. We seek to minimize retention of raw precise-location points and provider payloads while retaining derived trip, safety, transaction, reconciliation, and audit records when reasonably necessary. We may retain information longer where there is an active account, ride, support case, payment dispute, safety incident, investigation, regulatory requirement, or legal hold. When information is no longer required, we delete it, anonymize it, or securely isolate it as appropriate.

7. Safeguards

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, such as access controls, authentication, encryption in transit, restricted service credentials, audit records, security monitoring, backups, and staff or contractor confidentiality obligations.

No system can be guaranteed to be completely secure. Please protect your device and authentication messages, and contact us promptly if you believe your account or personal information has been compromised. Coastal Rides staff will not ask you to disclose a one-time passcode, password, or complete payment-card security information.

8. Processing outside British Columbia or Canada

Coastal Rides and its service providers may process or store personal information in British Columbia, elsewhere in Canada, the United States, or other jurisdictions where a provider operates. Information processed in another jurisdiction may be subject to that jurisdiction’s laws and may be accessible to its courts, law-enforcement, or regulatory authorities. We use contractual, technical, and organizational measures appropriate to the information and the service relationship.

9. Access, correction, and deletion requests

Subject to applicable law, you may request access to personal information under our control, ask us to correct inaccurate or incomplete information, withdraw consent where processing depends on consent, or request deletion of information that we are not required or permitted to retain.

To make a request, email contact@support.coastalrides.ca with the subject “Privacy request,” use our contact page, or call +1 855 921 2226. Tell us whether the request relates to a rider, driver, applicant, partner, website, or support interaction. We may need to verify your identity, but we will ask only for information reasonably necessary to do so.

We may retain or withhold information where permitted or required for safety, another person’s privacy, fraud prevention, accounting, insurance, transportation regulation, a dispute, an investigation, legal process, or another lawful reason. If we cannot fulfill a request, we will explain the reason as required by law. We will respond within the time required by applicable law.

You may raise a privacy concern with our Privacy Officer using the contact information below. You may also contact the Office of the Information and Privacy Commissioner for British Columbia or, where applicable, the Office of the Privacy Commissioner of Canada.

10. Children and other passengers

The Services are not intended for children to create or administer their own account without the involvement of a parent, guardian, or other authorized adult. A rider may provide limited information about a child or another passenger when reasonably necessary to arrange transportation. Do not provide sensitive information that is not needed for the ride.

11. Third-party services and links

The Services may link to, open, or interoperate with third-party services. Those third parties control their own services and privacy practices. We encourage you to review their privacy notices. This Policy does not govern information you provide directly to an independent third party outside the Coastal Rides Services.

12. Changes to this Policy

We may update this Policy to reflect changes to the Services, our practices, providers, or legal requirements. We will post the updated Policy with a new “Last updated” date. If a change is material, we will provide additional notice where appropriate or required by law. Changes apply from the stated effective date and do not reduce rights provided by applicable law.
